Volunteer profile

The volunteer profile page shows all information about an individual volunteer, including their contact details, shift assignments, preferences, and communication history.
Volunteer details
The main details card displays:
- Name – Full name of the volunteer
- Email – Click to open the inbox filtered to this contact
- Phone – Click to call directly
- Position – Their position type (Participant, Crew member, Team lead, or Coordinator)
- Status – Current status (Active, Pending, or Inactive)
- Emergency contact – Name and phone number for emergencies
- Notes – Any internal notes about this volunteer
- Team assignments – If the volunteer has a user account, shows their team positions
- Registered – When they signed up
- Issued tickets – Any tickets issued to this volunteer
Click Edit to update the volunteer's details.
Team/role preferences
Shows the volunteer's preferred teams and roles, set during registration or by an organiser:
- Preference order – First choice, second choice, etc.
- Team and role – Which team and role they prefer
- Experience level – Their self-reported experience
- Notes – Any comments they added about their preference
Use preferences when assigning shifts to match volunteers with their preferred roles.
Assigned shifts
Lists all shifts this volunteer is assigned to:
- Date and time – When the shift runs
- Team and role – Which team and role
- Status – Confirmed, Pending, Cancelled, or Completed
Click View shift to see full shift details and manage assignments.
Messages
Shows message threads involving this volunteer. Click to view the conversation or send a new direct message.
Quick actions
Available actions depend on your permissions:

| Approve volunteer | Activate a pending or inactive volunteer |
| Direct message | Send a message to this volunteer |
| Call | Call the volunteer's phone number |
| Assign positions | Assign team lead or coordinator positions (requires linked user account) |
| Delete | Remove the volunteer record |
| Set inactive | Deactivate an active volunteer |
Statistics
Quick summary showing:
- Shifts assigned – Total number of shift assignments
- Maximum shifts – Their personal limit, or the default if not set
- Preferences set – Number of team/role preferences recorded
Activity log
If enabled, shows recent activity related to this volunteer, such as:
- Shift assignments and changes
- Status updates
- Messages sent
Tips
- Check preferences before assigning – Match volunteers to their preferred teams when possible
- Review emergency contacts – Ensure this information is complete before the event
- Use direct messages – Communicate privately with individual volunteers
- Monitor shift count – Check statistics to avoid over-assigning volunteers
